Overall, purpose of job 

  • To handle key account(s) of crewing operations, plan and execute crew change of assigned vessels and assist the reporting manager as required.

Functions and responsibilities 

  • Planning Top 4 officers.
  • Responsible for 30/60/90 days and immediate crew change plan and Crew change event creation in Compas and to update TM / FG on crew change plan.
  • Crew Change plans to communicate with the Manning Office and ensure they adhere to the same.
  • Arrange briefing and debriefing of officers with HOD/ TM/ FG.
  • Responsible to overview Manning operators work to ensure visa are applied on time, documents are revalidated, authenticated, mustering is done correctly and timely.
  • Responsible for mustering cost.
  • Cater to any AdHoc requirement like arranging additional Riding Crew, Addl Officer and calculate total cost to be involved in additional Rating crew and take relevant approval from TM.
  • Appoint agent and ask for PDA, review the cost and approve.
  • Adhere to OCIMF matrix requirements related to staggering and overlap.
  • Handle medical cases & open P&I cases liaising with the club to provide all necessary information also keep a follow up the P&I representative visits the crew.
  • Approve FDA and Eyeshare as per FDA cost approved.
  • To share monthly accruals with accounts team.
  • Take approval from Manager which is above their approval limits.
  • Follow up with Master & FG for updating Off signer Appraisal in Compas prior sign off.
  • Air ticket to be booked for on/off signers also return ticket of any seafarer travelling on tourist visa.
  • Obtain crew change confirmation from vessel and ask for relevant documents to ensure Manning operator updates DG site timely and accurately.
  • Obtain confirmation from onboard master regarding CRA and flag state documents.
  • Requesting Compas admin to add compliance as per vessel type.
  • To complete all formalities for disembarkation at port.
  • Follow up with port agent for FDA for total cost.
  • Verify Pre-Joining checklist prepared by Manning operator.
  • Carry out any ad-hoc tasks assigned by superiors.

Authority

  • The Crew Coordinators shall have the authority to:
  • Manager within the limits assigned to the position and as directed by Superior.
  • Make the required decisions to ensure that the purpose and the objectives of the position are met.
  • Ensure cost efficiency.
