The Housekeeping Administrative Assistant plays a vital role in supporting and managing all administrative tasks within the housekeeping and laundry departments. This position requires strong organizational skills, a high level of confidentiality, and the ability to effectively communicate with housekeeping staff and senior management. Attention to detail and prompt task execution are essential.
Responsibilities and Tasks:
- Provide full administrative support to the Executive Housekeeper, managing reports, schedules, internal communication, audits, inspection data, requisitions, and crew support systems.
- Maintain and organize essential operational logs, such as inspection, guest complaints, do-not-disturb, and performance logs.
- Coordinate and maintain a variety of schedules including training, work shifts, and inspections.
- Assist with and document staff performance evaluations according to company procedures.
- Handle administration for special programs such as laundry, floral services, minibar, tuxedo rentals, and other onboard initiatives.
- Manage the Performance Management Tool and ensure accurate data entry, report generation, and communication of results.
- Keep the Housekeeping office clean, orderly, and stocked with necessary supplies. Submit requisitions as needed.
- Accurately manage inspection-related tracking tools and confidential reports.
- Oversee gratuities and supplemental pay for the housekeeping and support teams, ensuring accuracy and compliance with company policies.
- Assist with the gratuity appeal process and explain payroll details to staff as needed.
- Manage crew assignments and scheduling documentation (E1 assignments) per voyage.
- Administer pool towel tracking systems and resolve related guest concerns on departure days.
- Update time and attendance databases daily and keep leadership informed through audits and reports.
- Maintain updated notice boards and ensure clear communication of training, voyage, and operational updates.
- Safeguard personnel records and other sensitive documents through precise and secure filing.
- Act as the main contact in the housekeeping office, delivering courteous service to both guests and crew in-person and by phone.
- Support other administrative functions including uniform issuance, onboarding and offboarding, orientation, safety drills, and familiarization processes.
- Promote health, safety, and compliance by following organizational protocols and attending all necessary drills and training.
- Perform other job-related duties as assigned by management.
