RESPONSIBILITIES

• Align with Company Strategy

Support and contribute to the overall procurement and business strategies defined by the company and the Purchasing department.

• Oversee Marine Procurement Process

Manage and execute the end-to-end procurement process for stores & consumables, marine equipment, spare parts, and services.

Ensure timely and cost-effective sourcing of materials and supplies for vessel operations.

Facilitate the planning and execution of logistic and last mile deliveries in coordination with all involved parties, ensuring efficient and timely delivery of goods onboard the vessels.

• Supplier Selection and Management

Maximize usage of contracted suppliers across different purchasing categories.

Maintain strong working relationships with suppliers and ensure quality products are delivered on time.

Continuously monitor supplier performance to ensure compliance with contracts and service level agreements (SLAs).

• Stakeholder Management

Foster and maintain productive, performance-driven relationships with key stakeholders to ensure smooth procurement processes.

Regularly collaborate with Vessel Crews and Vessel Managers to understand requirement specifications, prioritize needs, coordinate vessel schedules, storage plans, and manage delivery arrangements.

• Ensure Compliance with Regulations & Sustainability Initiatives

Ensure all purchases meet industry regulations, quality standards, and maritime safety requirements.

Stay updated on maritime laws and regulations, ensuring compliance with import/export laws and environmental standards.

Promote and source environmentally sustainable products and services in alignment with the company’s sustainability goals.

DUTIES

• Facilitate timely processing of requisitions and orders in accordance with the Purchasing policies and procedures.

• Identify, evaluate, and recommend suppliers in compliance to the group contracts and frame agreement.

• Coordinate between vessels and suppliers concerning purchase orders and supplies.

• Request for quotations to obtain best possible price and terms of delivery.

• Evaluate quotations, recommend supplier, and obtain approval from Vessel Manager.

• Issue purchase order to supplier and secure order confirmation.

• Give delivery instructions to nominated suppliers.

• Initiate planning for logistics and last mile delivery in coordination with suppliers, forwarders, and agents to ensure safe delivery of goods and services.

• Consolidate purchase orders to minimize transportation and handling cost.

• Send delivery note for agents and vessels on coming port calls.

• Coordinate with vessel crew on safe receipt of goods onboard.

• Handle and resolve supply related issues in coordination with all concerned parties.

• Process, validate, and approve vendor invoices in compliance to invoice processing procedures.

AUTHORITY

• The Technical Purchasing Officer has authority as directed by the Purchasing Manager / Purchasing Supervisor to take the required actions ensuring high levels of customer satisfaction.

REQUIRED QUALIFICATIONS AND EXPERIENCES

• Bachelor/College Degree of any related course, preferably in Engineering.

• Minimum of 2 years of experience working as a Marine Purchaser within the shipping industry.

• Solid understanding of international supply chain processes.

• Strong proficiency in English, both written and verbal.

• Highly motivated, structured, and quality-focused individual, with strong initiative and excellent interpersonal skills.

• Able to thrive in high-pressure and fast-paced work environments, with a keen eye for detail and accuracy.

• Strong-minded with a resilient and robust personality.

• Capable of identifying and resolving issues efficiently.

• Demonstrates a proactive attitude toward tasks and challenges.

• Able to work in a team and in a multi-cultural working environment
