Key Responsibilities and Roles:
Process the Flag State applications:
- Consolidation of Requirements:
- Prepare Flag State request requirements according to the established matrix.
- Monitor the release of Certificate of Registry of Agreement (CRA) and follow up on the Original Book, Endorsement, and Government Order of Employment (GOE) 90 days prior to CRA expiration.
- Ensure proper documentation and timely processing of all registry requirements.
- Verify that CRA, Book, Endorsement, and GOE are properly uploaded and regularly updated in the Crew Management System.
- Confirm that all released CRA, Book, Endorsement, and GOE details are accurate before dissemination to the Crewing team.
- Keep Flag State guidelines updated and ensure compliance.
- Validate the accuracy and validity of all submitted documents and certifications.
- Perform other tasks as assigned by the immediate Supervisor or Manager.
- Invoices / Payment Requests:
- Ensure timely submission of Flag State-related invoices to the Finance department for payment processing.
- Coordinate with Finance and Flag State authorities regarding invoice-related matters to resolve any discrepancies or issues.
- Process the Visa Applications:
- Ensure timely requests for visa funds and liquidation with Finance.
- Verify the accuracy of online and paper visa applications.
- Oversee the timely application for all seafarers’ visas as requested.
- Secure visa appointments when required.
- Ensure completeness of all visa application documents during briefings, including instructions for interviews and procedures, especially for applicants needing personal appearance.
- For visas that do not require personal appearance, ensure that all pertinent documents are delivered personally to the embassy by an authorized company representative.
- Assist, monitor, and guide shore-based employees in their visa applications.
- Act as the subject matter expert for visa application processes.
- Coordinate with embassies to obtain the latest Memorandum Circulars and Advisories
- Perform other tasks as assigned by the immediate Supervisor or Manager.
- At least a graduate of any Bachelor’s Degree.
- Knowledgeable about seafarer documents and requirements of Flag State Registries.
- Preferably 1-2 years’ experience in Crewing operations.
- Good communication skills, both written and verbal.
- Highly organized with strong interpersonal skills.
- Strong customer focus with the ability to provide after-hours support when needed.
- Proficient in using office productivity tools.
