Key Responsibilities & Duties:
Recruitment
• Submit requirement for new recruit to Recruitment Department
Advanced Planning
• Inform crew on their next vessel assignment
• Propose, execute and monitor the rotation planning in crewing system
• Provide Crew Relief Status/Plan to the PIC/Master onboard as applicable
• Monitoring of crewing system dashboard
• Propose for position of a qualified candidate with no rotation plan from OSM Thome pool (seafarer without line up or seafarer with recommendation for promotion), availability lists, or new recruit
• Update the team with the changes in the requirements
Crew Change
• Monitor, request and coordinate working permit, exit clearance as required for the crew change
Pre-Joining Requirements
• Request and monitor flights of upcoming crew changes
• Ensure flight and other transportation bookings are in place and at the most economical price.
• Discuss with the joining Junior Officer and Ratings seafarer the items listed in the Pre-joining and Pre-departure Checklist
• Coordinate with Processing Department for Department of Migrant Workers (DMW) enrolment of principal, vessel, change of vessel’s name and wage scale
• Prepares MLC contract of onboard crew as required.
Crew Appraisal and Promotion
• Conduct debriefing for Junior Officer and Rating off-signers
• Monitor crew performance evaluation and propose Junior Officer and Rating seafarer for promotions
Crewing System
• Approval of Invoices (crew reimbursement) through Eyeshare
• Update allotment details and self-USD account
Crew Entitlement
• (HMO)
• Provide the names of seafarers for the long service award
• Process emergency loan requested by seafarers for approval
• Coordinate with Crew Payroll/Accounting section regarding inquiries of crew onboard pertaining to their allotments and wages
• Compute sea services for wage seniority of joiners
• Request joining cash advance of departing seafarers and request return bonus as applicable
Crew Coordination
• Coordinate and assist crew for any Crew Welfare activities (i.e. Calamity and death)
• Conduct exit interview for Junior Officers and Ratings and initiate clearance process and release documents to withdrawing seafarers upon completion of the clearance process.
Others
• Supervise Crewing Assistant
• Perform other tasks as delegated by the immediate superior
Qualifications:
• At least 3 years of work experience in Crew Manning Services responsible for crew planning and deployment
• At least a graduate of any bachelor’s degree
• Extensive knowledge of procedures and policies related to the crewing industry
• Ability to communicate effectively at all levels
• Strong negotiation skills
• Has an eye for details
• Has good decision-making skills
