  • Location: Italy / Worldwide.
  • Duration: 12 months (renewable).
  • Start Date: ASAP.
  • Rotation: 28/28 days on/off.
  • Salary: EUR 7005.
  • Insurance: Provided by the company.
  • Employer: Our client, a drilling and construction contractor.


Requirements/Qualifications/Competence:

  • Previous experience in crew coordination, offshore operations, marine logistics, or a similar administrative role preferred.
  • Good understanding of personnel movement processes, travel arrangements, and offshore documentation.
  • Ability to manage multiple schedules and priorities in a fast-paced environment.
  • Familiarity with crew records, certificates, training documents, and compliance requirements.
  • Strong communication skills with the ability to coordinate with vessel teams, agencies, and external providers.
  • Detail-oriented approach with accurate record keeping and reporting skills.
  • Proficiency with standard office and personnel management systems.
  • Strong command of written and spoken English.


Tasks:

  • Coordinate crew rotations, embarkation, and disembarkation activities according to operational plans.
  • Maintain updated personnel schedules and ensure accurate onboard assignment records.
  • Organise travel arrangements, transfers, accommodation, and related logistics.
  • Verify crew documentation before arrival and assist with required onboarding paperwork.
  • Prepare and distribute daily personnel reports, movement records, and operational updates.
  • Manage onboard personnel information, attendance records, working hours, leave, and related data.
  • Support access control procedures by preparing personnel identification badges and records.
  • Coordinate with catering and accommodation teams regarding cabins, meals, and onboard services.
  • Manage crew lockers and support allocation of onboard facilities.
  • Process requests for hotels, transport, and other travel-related services.
  • Assist vessel leadership with immigration processes and crew movement documentation.
  • Support training and certification tracking, including updates to personnel compliance records.
  • Handle controlled cash-related requests in accordance with vessel procedures.
