We’re seeking a highly organized Crew Assistant to support crew operations and compliance within our fleet. This role involves coordinating interviews, managing documents, ensuring regulatory compliance, and preparing reports to maintain smooth and efficient crew management processes.

Key Responsibilities:

  • Coordinate interviews, briefings, and distribute relevant documents to internal teams and seafarers.
  • Review weekly vessel checklists for contract expirations and document validity.
  • Verify document compliance for all planned onsigners.
  • Prepare and submit risk assessments for any non-compliance issues.
  • Generate weekly and monthly crew data reports (contract status, retention, relief, sign-off reasons).
  • Record meeting minutes and maintain organized documentation.
  • Upload vessel documents (P&I, Financial Certificates, CBAs) in COMPAS.
  • Assist in audit preparation and provide document sampling.
  • Act as backup for the Personnel in Charge (PIC) during leave periods.
  • Perform additional tasks as assigned by the Crew Manager.

Qualifications:

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in administrative tasks, document handling, and data reporting.
  • Familiarity with maritime industry regulations and compliance practices is an advantage.
  • Ability to collaborate effectively across departments and stakeholders.
