Contribution and aim

The main purpose of this position is to ensure that all systems and documentation related to the application of crew are complete and valid before endorsement. It is also in charge of assisting the applicant to undergo the different steps prescribed in the recruitment work processes. The position will also assist in the generation of reports, and support the implementation of process improvements, projects, and initiatives for the department.

Key Responsibilities and role(s)

  • Ensure that all required documents of the candidates are collected and scanned. (COP/TESDA Certificate, Seaman’s Book, Passport, Yellow Fever Vaccination, NBI).
  • Responsible for ensuring that application system information of the applicants are updated with the required information and all documents related to the application.
  • Necessary updating of application system pertaining to the applicants’ acceptance process.
  • Check and ensure that the original documents of the applicants are valid and authentic by checking the Government Websites (VOC), and other available means of authenticity verification.
  • Facilitates reference checking of the candidates’ previous employment and P&I history (with the candidate’s consent)
  • May facilitate examinations (CES, MARLINS, Predictive Index, etc.), as directed/endorsed by Recruitment Officers.
  • Assists in endorsement of approved applicant’s physical documents to Crewing Operations.
  • Assists in the review of the recruitment processes and makes sure that the same is being updated by crewing operations.
  • Collates data and assists in monitoring the performance of the team against the Key Performance Indicators.
  • Assist the Recruitment team in driving initiatives to make the processes more efficient and effective.
  • Ensure that all documents of Crew for Promotion/Assessment are verified according to Promotion Requirement Matrix.
  • Carry out collateral tasks assigned by the Recruitment Manager or Immediate Supervisor.

Required Competencies

  • Has experience in handling crew documentation.
  • Experience in the recruitment and maritime documentation field is an advantage.
  • At least a graduate of any bachelor’s degree; process-related courses is an advantage.
  • Experience in Kaizen and other process improvement projects and lean or Six Sigma certifications is an advantage.
  • Good communication skills – written and verbal.
  • Proficient in the use of Office Productivity tools
  • Detail-oriented
  • Ability to multi-task and good monitoring/follow-up
