To maintain a constant and persistent support to the Vessel Manager/Senior Vessel Manager and assist them in every way to manage the vessels in the most efficient and economical manner.
Work function and responsibilities shall include the following:
Marine:
• Plan and prepare the annual vessel visit / inspection and audit plan, for all Vessel Managers and Marine Superintendents.
• Maintain records for management visits.
• Upload the visit reports in the Intranet system and maintain & update status in central tracker / tracking system.
• Custodian of Central Tracker / tracking system for findings from various platforms
• Prepare, collate, and submit tender questionnaire and documents for various clients and in house bidding / tender submission.
• Create, Plan and update the calendar for IA, ext. audits & other inspections.
• Ensure that each PIC should receive a monthly update of the open/overdue TDL/deficiency list, and if necessary, follow up with the vessels in accordance with the VM's instructions.
• Get the information required for QMR and AMR from all departments as well as the ERP and prepare the Quarterly Management review and Annual Management Review.
• Maintain quarterly data for incidents, accidents, near misses, PSC, FSI etc. as necessary for Management Review.
• Maintain an up-to-date record of five years HSE statistics.
• Maintain record of IA and Ext. audit reports and follow up on closures.
• Take part in the ship-to-shore exercise and help with report preparation.
• Participate in DOC EXT and IA audit. Follow up on closures.
• ISM Declaration forms must be kept up to date.
• Filing of audit reports and other marine documents on one drive.
Technical Job:
• Provide vessel managers with support as needed.
• Help the senior technical assistant when necessary.
• Participate in owner meetings and write meeting minutes.
• Create and maintain VM's travel plan.
• Help VM prepare the vessel report on a monthly or quarterly basis.
• Attend the technical meeting every week.
